First Steps with Assignments

In Innosoft the activities and absences of resources are planned with assignments. They are displayed as assignment bars in the Innosoft planning board, which has the form of a Gantt chart, to ensure an optimal overview. Similar to calendar entries in other systems, assignments have start and end dates, a location and a title. In addition, they have various other properties that enable a complete and realistic planning. These include, for example, information on arrival and departure, working times and work instructions, and any planned material. An assignment is always assigned to a resource or a worklist.

Types of assignments

There are five types of assignments:

  • Absence: The resource is not available for the selected period.

  • Address-related: The costs caused by the assignment are only allocated to the assignment address. There is no allocation to a project.

  • Project-related: The assignment costs are allocated to the selected project.

  • Maintenance: Maintenance assignments behave like project-related assignments, but are treated differently by some functions related to maintenance contracts (so far only Classic).

  • Internal: The costs incurred are not allocated further and are therefore overhead costs.

Create an assignment

You can create assignments directly in the planning board. To do this you switch to the images/download/thumbnails/494471277/Plantafel-Text_Men%C3%BC_EN_img.png via the main menu under Field Service and images/download/thumbnails/494470733/Einsatzplanung_men%C3%BC_EN_img.png . Select the desired cells for in a resource or worklist with the left mouse button and, after right-clicking on the selected area, choose the option "Create new assignment". (Alternatively, you can select an area by holding down the CTRL key.)

If you want to create assignments for multiple resources or recurring assignments, use "Create Assignments".

  • First select an "Identification code" for the assignment. This identifier determines the assignment type and classifies the assignment according to the work to be performed.

  • Depending on the type of assignment selected, various input options are available in the "Summary" section of the assignment window:

    • Address-related: Enter the address where the costs for this assignment are to be collected.

    • Project- or maintenance-related: Enter the project to which this assignment belongs.

  • Provide a meaningful "Title". This title is displayed in the system when the assignment is referenced.

  • A "target" specification of the required time in hours is not mandatory, but it helps you and your colleagues to plan a reasonable time period and to create evaluations with target/actual comparison afterwards.

  • Enter "Work instructions" for the resource.

  • Adjust the schedule if necessary. The system provides the actions "Calculate travel times" and "Calculate assignment length automatically" to help you do this. You can find more information in the article "Planning of an Assignment Period".

  • If you specify the lead time, the "MoveAssignments" tool will move the assignment. The new start of the assignment is the current date plus the lead time. The "MoveAssignments" tool is used to move the assignments into the future.

After you have saved the assignment, it appears in the planning board in the form of an assignment bar. You can select several assignments by pressing Shift and the left mouse button or select a single assignment by pressing CTRL and the left mouse button. Assignments can be allocated to more than one ressource. You can copy assignments in the project and address view.
