Resource Planning - General Settings

In this section images/download/thumbnails/275254094/Resource-Planning-Section_img.png in the General settings, you configure settings that affect the Planning board.

In the segment "General" you define the following settings:

  • Use simplified capacity calculation: The working time of the resource is taken into account to determine the total minutes of the assignment. If no working time was entered for the resource, then the working time entered in the assignment is used.

  • Use project main group: If the function is activated, then when the Resource Planning is filtered by main group filters, both the main group of the assignment and the main group of the resources are filtered. If the option is not activated, only the main group of the resources is used.

  • Activate project plan: If this option is active and the setting "Activate project plan" is also active in the user settings, then the user can only schedule assignments for projects that are specified in the User configuration under "Project plan". This means that you can only create or change assignments for the specified projects. Assignment bars with an absence time identifier can still be specified.

  • Adjust project period automatically: When changing the assignment period, the project period is automatically adjusted.

  • Use resource search with profile of the assignment: When you open the resource search in an assignment, the skill profile of the assignment is passed to the search.

  • Special main group right for times absent: Main group rights are used instead of group rights when anonymizing absences in resource planning.

  • Create new assignment (PM): With this function, you can activate the assignment creation in the project management. When you drag a new assignment bar, this menu item appears. The project management is not available on the web, but via our Windows programme "PPNeu32.exe".

  • Hours per day / Start of work* / End of work*: Set the default working time per day. Define the default work start and end of work time.

  • Thinfinity URL for Digital Forms / service report overview/ travel reports: If you use Thinfinity, then enter the respective URL for the Digital Form, the report overview and travel reports.

  • Enable Assignments-grouping: With this option you activate the possibility to group assignments, i.e. assignments with the same grouping can be shifted by the same number of days.

  • Use approval process: After activation, the release process can be used within an assignment. If you increase the release in the assignment and in the project, for example, it is set that the period is released, then the release is reset to "0" when the assignment period is changed.

  • Activate 'Switching assigments invisible': Gives you the opportunity to switch assignments to invisible within the Planning board. Is the setting active, you can switch assignments to invisible and visible in the assignment info under "Further data". However, the assignment can be called up via the Assignment search.

In the segment "Display settings" you define the following settings:

  • Project colour in planning view can be changed/reversed: With this option, you can show or hide the filter "Show assignments in project colour" in the Planning board.

  • Holiday/ Today/ Weekend: Click on the arrow to change the desired colour for the respective days.

In the "Code" section, you can create new codes for assignments or edit existing ones. You can translate each code into several languages when you edit the code. You can only delete codes, if the code has not yet been used. In addition, the number of approvals can be set and the value can only be between 0 and 9. The number of approvals determines whether the transmission status of an assignment can be changed. In order for the approval process to be used, the setting "Use approval process" in the "General" section must be active. If the approval within the assignment is lower, then the transmission status cannot be changed. If the user is allowed to increase the approval level, then it can be done via the plus button under "Approvals". If you have set the "Approval period", then once the assignment is approved, you cannot change the assignment period without resetting the approval. If "Approval text" option is active, you cannot change the work instruction after the approval without losing the approval. With the "Approval resource" option, you cannot change the resource after release without losing the approval.

Under "Group" you can create new groups or edit existing ones. You can translate each group into several languages when you edit a group.

Within the section "Main group" you can create new main groups or edit existing ones. You can translate each main group into several languages when you edit a group. You can specify the time type scheme for a main group, which determines which time types are used in a service report. You can also state whether units are to be used in the time stamps. If you choose to use units, you can define the units under "Unit". In addition, you can specify which return trip mode is used for the mobile user and the user at the head office. One setting option is "Completely open", which means that everything can be changed and added without restrictions after the signature. Another possibility is that only time stamps and cash expenses can be added. In the setting "Time records and cash expenses can be added", only time types specified in the time scheme can be newly created and only what was entered after the signature can be changed. If no dynamic time types are used, only return journey times and break times can be recorded. Materials cannot be recorded in this mode. The last setting option is "After signing read only", in which case no time stamps or cash expenses can be added. In addition, no materials can be recorded.

The "Other" tab in the main group editing is only visible if the setting "Use main group functionality" underimages/download/thumbnails/275254227/General-General-Settings_img.png is active. Here you can edit the resource types depending on the main group. Main group dependency means that, for example, the resource types are displayed for the selected main group in the resource editing, and not the resource types that you can specify under the General settings in the Resources section. You also have the option of specifying productive and non-productive activities for the weekly reports depending on the main group. In addition, you can specify the look-up values for visa editing for the resource main group-dependent. The following look-up values for the visa can be added:

  • Passwords for visas

  • Duration of stay for visas

  • Usage of visas

  • Number of stays per visa

Under "Means of travel" you can create new travel means. You can edit travel means and adapt the respective translations.

Under "Priority" you can create new priorities. You can also edit existing priorities and adapt the respective translations.

Under "Transmission status" you can create transmission status values, edit existing transmission status values and adjust translations. The colour of the assignment can also be determined. If the assignment does not have a specified colour, then the assignment is coloured in the colour of the sending status. In addition, you can specify an HTML symbol that is displayed in the deployment bar in the Planning board.

Under "Flags" you can create new flags and edit existing ones. A flag has time limits from which point in time and up to which point in time it can be used. You can adjust the colour of the flag. In addition, resources can be specified for which the flags apply. If no resources are specified, the flags apply to all resources. In addition, you can create assignments with the flag for resources or for the container with the action "Create assignments". The option "Use flags" sets that flags are active. The setting "Hatch weekends", sets the flag to be shaded on the weekend. With the setting "Hatch holidays", the flags on holidays can be displayed hatched.

Under "Icon" you can create icons that are placed behind an assignment. To do this, you must activate the user setting "Use icons" within the section images/download/thumbnails/275254094/Resource-Planning-Section_img.png under "Display settings" so that the icons are displayed in the assignment. When you add an icon, you can change the colour of the icon and the name. You can also add translations of the name. Furthermore you can also change the icon using the respective hexadecimal value.

As a system administrator, you can call up and change general settings (RechtSys =2).
