Mobile App - Service reports
While you work on an assignment all the important information are saved in a service report. A service report contains information of the customer, the type of assignment, the time period of the work, the costs and more additional details. The service report is divided into several sections. The "overview" contains the most important data. The overview can be found in all other sections on the right side. There you can check information about the assignment, the customer, the type of assignment, the time period and the project number. Additionally you can find a summary of the travel time
, the working time
and the cash expenses
. The times and the cash expenses have their own section where you can find more detailed information. If you want to continue the editing of the service report on another device, click on "Transfer editing" and choose the desired device. The service report has the following sections:

Closure
With creating time stamps for an assignment in the time tracker a service report will be automatically created. You can create a service report manually by clicking on an assignment and the button
in the section "service reports". To finish an assignment you need to finish the service report and submit a version of the service report with your signature. As long as the service report is not finished, you can find the report in the section "home" on the left side, in the section "
unfinished reports" or in the section "service reports" of an assignment.
Times
In the section "Times" the working times, breaks and travel times are saved. On the left side you can find the different time stamps, the time periods, the duration and the activities. The activities are divided in work
, journey
and break
. All the time stamps from the time tracker are automatically added. Click on a time stamp to edit it. The start and the end define when you started/ ended the activity. Next to the date you can enter your time zone. In "activity" you can specify your activity. One example of the specific activties is:
Journey:
Outward journey
Intermediate journey
Return journey
Work:
Work
Preparatory work
Extra work
Break:
Break
Idle time
These are only examples.
If you choose one of the travel activites you can specify whether you were the driver or not. You can also enter the distance. For each activity you can select a machine from a list of machines. The list of machines contains all machines that are on the location. For each time stamp you can only select one machine. If you worked on more than one machine, you need to create a new time stamp for each machine. You can leave a remark at the end of the time stamp if you want. Save your input with
.
Add new time stamps with "Add" in the bottom left corner. A new time stamp begins by default after the last time stamp. If you want to create a time stamp between existing time stamps, choose a time stamp and click on
. With this you can create new time stamps before or after this time stamp or delete the time stamp.
Cash expenses
All costs that occured during the assignment can be entered in the section "Cash expenses". Add a new cash expense by clicking on
. After choosing a subject you can change the date in which the cash expense occured. The date is by default the current day. Then you need to specify the quantity and the price. There are different options for the currency. If needed, you can write a remark. Save your cash expense wirh
. Click on an existing cash expense to edit it. If you want to delete a cash expense, you need to click on
.
Materials
You can enter all the used materials in the section "Materials". You can add new materials with
. There is a list of materials you can choose from. On the top are all the materials that were planned for the assignment. Below those is a list of materials that are available offline. If you cannot find your material in these lists, you can search online. Alternatively you can scan the barcode of the material with the button
.
After choosing a material you need to specify the date. The date is by default the current day. You cannot change the article number and article name. If those are wrong, you need to cancel and start again. You need to specify the quantity of the material you used. If a machine was involved, you can choose one of the machines on the location. At the end you can leave a remark. You can save your input with
. Click on a material for editing or delete a material with
.
Documents
In the section "Documents" you can add new documents with
. You can add a file
, an image from the gallery
or a photo
. You can for example make a photo of the machine that you worked on.
Comments
In the section "Comments" you can write three types of remarks.
Service report: Remarks that relate to the assignment and the work.
Customer remarks: Remarks that relate to the customer.
Internal remark: Remarks that are only for internal use and are usually invisible.
Closure
Is the assignment completed and the service report finished, you can submit the service report in the section "Closure". You can leave a remark if needed. Before you finish and close the service report with
, you need to sign the service report. Click on
to choose between a service report with or without signature. After choosing a version a new editing window opens. You can choose the language of the finished report. The service report can be deposited in the section "Documents". You can do this by choosing "Attach to document system" and entering an appropriate name. You also need to choose an appropriate name for the finished pdf document. In the version with the signature click on "your signatures" to sign it. The customer can also sign the service report. Click on "Additional Signatures" and enter the name of the customer. On the next page there is a summary of the assignment on the left side. With the signature the customer confirms the information.
Complete the print request by saving all your input with
and click on "Synchronize". After this you can find the service report in the section "
Print jobs" . Finish a service report with the button
.
You cannot edit a finished service report. Make sure that all information are correct.
